How we get the personal information and why we have it
Most of the personal information we process is provided to us directly by you for one of the following reasons:
We use the information that you have given us in order to create video and audio materials.
We may share this information with clients who have commissioned work and require for example, as part of their own privacy or consent policy, evidence of permission granted to contribute to a production. This could for example be the sharing of an agreed permission to film at a location, or evidence of consent being given to feature in a video or audio.
We may disclose your personal information if we are required by law to do so. Subject to applicable data protection law, Culture AV may share your personal data with sub-contractors and other persons who help us provide a service to you, legal and other professional advisors, Government bodies and agencies in the UK and overseas, or anyone else where you have given your consent or as required by law.
Images of individuals, whether in still photographs or video images, will often be caught by the definition of personal data in the Data Protection Act 1998. In many cases, consent from the individuals will need to be obtained in order to process (capture and use) the images fairly and lawfully.
Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:

(b) We have a contractual obligation.
(c) We have a legal obligation.

(e) We need it to perform a public task.

How we store your personal information
Your information is securely stored on password protected systems. Video and audio rushes, and any hard copy information, for example contracts and release forms, are stored in a locked room.
We keep contact details for one year after a production has been delivered. This is because for example we may need to contact you about adjustments to an edit. We will then dispose of your information by deleting any electronic or written correspondence, and shredding any hard copy documents.
Your data protection rights
Under data protection law, you have rights including:
Your right of access – You have the right to ask us for copies of your personal information.
Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances.
Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances.
Your right to object to processing – You have the the right to object to the processing of your personal information in certain circumstances.
Your right to data portability – You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.
You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
